Privacy, in plain language
Last updated October 24, 2026
The short version
- We only ask for the access the templates need, and we explain each permission before you connect anything.
- Your data is encrypted in transit and at rest. We never see or store your passwords.
- We don't sell your data, we don't show ads in Kivorun AI, and we don't train shared AI models on your business or customer data.
- Our homepage uses the Meta Pixel to measure our own Facebook and Instagram ads. It's never used inside the app, and you can opt out (see Ads measurement).
- Nothing is sent to your customers unless you approve it, or you turn on auto-send for a template.
- You can delete your account and data whenever you want.
Who we are
Kivorun AI ("we", "us") makes an assistant that drafts customer replies, invoice reminders, and booking offers for small service businesses, and waits for the owner's approval. This page covers kivorun.ai and the Kivorun AI app. Questions: hello@kivorun.ai.
What we collect
- If you join the waitlist: your name, email, type of business, and, if you tell us, how you heard about us. We also keep campaign tags from the link you used (like utm_source) and the referring website, so we know which outreach works.
- If you sign in with Google: your name, email address, profile photo, and Google account ID. Signing in only asks Google for these basic profile details.
- Your business profile: the services, hours, prices, FAQ answers, and tone of voice you choose to enter.
- Services you connect, only when you connect them: Gmail (to read customer emails and prepare replies), Google Calendar (to find open times and add bookings you approve), and one invoicing tool (to read overdue invoices). Before each connection we show exactly what Kivorun AI will access, why, and what it will never do.
- The activity log: a record of what Kivorun AI read, drafted, sent, or booked, and who approved it, so you always know what happened on your behalf.
- Website analytics: we use Cloudflare Web Analytics, which counts visits without cookies and without tracking you across other websites.
- Ads measurement on our homepage: the Meta Pixel records that you visited the kivorun.ai homepage and whether you joined the waitlist. See Ads measurement below.
- Cookies: in the Kivorun AI app, only the essential ones: one that keeps you signed in, and a short-lived one that protects the Google sign-in step. On the kivorun.ai homepage, the Meta Pixel can also set advertising cookies (like
_fbp), as explained below.
How we use it
- To run the service: prepare drafts, show them for your approval, send what you approve, and keep the activity log.
- To keep it working well: measure approval rates and fix quality problems. Every AI action, prompt version, and outcome is logged for this purpose.
- To contact you about the beta, your account, and important changes. No marketing lists, and no selling or renting your information.
Ads measurement (Meta Pixel)
We advertise Kivorun AI on Facebook and Instagram. To know whether those ads work, the kivorun.ai homepage uses the Meta Pixel, a small piece of code from Meta Platforms (the company behind Facebook and Instagram).
- Where it runs: only on the kivorun.ai homepage, where the waitlist form is. It doesn't run on our privacy or terms pages, the sign-in pages, or anywhere in the Kivorun AI app.
- What Meta receives: that your browser loaded our homepage (a "page view"), and, after you successfully join the waitlist, a "lead" event. With these, Meta gets technical details such as your IP address, browser type, the page address, and cookie IDs. We don't send Meta your name, email address, or answers from the form.
- Cookies: the Meta Pixel may set or read cookies such as
_fbpand_fbc. If you're logged in to Facebook or Instagram, Meta may link these events to your account. - Who uses it: we use it to count sign-ups from our ads, and Meta uses it to show and measure ads, as described in Meta's Privacy Policy. Meta is a recipient of this data and handles it under its own terms.
- How to opt out:
- Turn on Global Privacy Control in your browser or a privacy extension. When your browser sends it, our homepage doesn't load the Meta Pixel at all.
- Block third-party cookies or use a content blocker. The waitlist works fine without the pixel.
- Change how Meta uses this information in your Meta ad preferences, or opt out of interest-based ads through the Digital Advertising Alliance or Your Online Choices (EU).
- Email hello@kivorun.ai with any questions or requests.
Google user data
Kivorun AI's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In practice:
- We use Gmail and Calendar data only to provide the features you turned on, such as drafting a reply or offering open times.
- We don't use Google user data for advertising, and we don't sell it or transfer it to data brokers.
- We don't use Google user data to train generalized or shared AI models.
- People at Kivorun AI don't read your email or calendar unless you ask us to (for support), it's needed for security or abuse investigation, or the law requires it.
- You can disconnect Google at any time from Settings, or from your Google account permissions.
How AI is used
Drafts are written by AI models from your business profile and the message, invoice, or request they answer. Everything the AI writes is labeled "Drafted by Kivorun AI" for you, and waits for your approval. We send only the text needed for a draft to our AI provider, under terms that don't allow the provider to train its models on that data. We don't train shared AI models on your business or customer data.
Who we share it with
We use a small number of service providers to run Kivorun AI. Except for Meta (see below), they can only use your data to provide their service to us:
- Cloudflare: hosting, database, website analytics, and sending our emails.
- Meta: ads measurement on the kivorun.ai homepage only, through the Meta Pixel (see Ads measurement). Meta also uses this data for its own purposes, under its own privacy policy.
- Google: sign-in, and Gmail and Calendar when you connect them.
- OpenAI: AI models that prepare drafts.
- Stripe: subscription billing, once paid plans start. We never see your full card number.
- Your invoicing tool (QuickBooks Online or Stripe), when you connect it, to read overdue invoices.
We may also disclose information if the law requires it, or to protect people from harm. If Kivorun AI is ever sold or merged, this policy will still apply to your data.
Security
- All connections use HTTPS. Data is encrypted at rest.
- Connections to Google and your invoicing tool use standard OAuth sign-in. We never see or store your passwords, and access tokens are stored encrypted.
- We ask for the minimum access the templates need, and access inside our team is limited to the people who need it.
- Kivorun AI never moves money. Invoice reminders are emails; payments stay in your invoicing tool.
Keeping and deleting your data
- We keep only the customer data the activity log and quality checks need.
- You can delete your account from Settings → Delete my account in the app. That signs you out everywhere and deletes your account, profile, connections, and activity log. Copies in backups are removed within 30 days.
- To be removed from the waitlist, or for any other deletion request, email hello@kivorun.ai from the address you signed up with. We'll confirm within a few business days.
- If you close your account, we delete its data the same way.
Your choices
You can see, correct, export, or delete your information, and disconnect any service, at any time. Email hello@kivorun.ai and we'll help. Kivorun AI is meant for business owners and isn't directed at anyone under 18.
Changes to this page
If we change how we handle your data in a meaningful way, we'll update this page and tell signed-in owners by email before the change takes effect.
